Rules & Guidelines (NEW) for Submission of
PAPERS, POSTERS & VIDEO TAPES

  • HANDWRITTEN SUBMISSIONS WILL NOT BE ACCEPTED
  • ONE CAN SUBMIT ONLY TWO FREE PAPER/VIDEO/POSTER ABSTRACT ONLY
  • “NO CHANGE” IN AUTHORS ALLOWED IN ANY OF THE SESSIONS.
  • PRESENTING AUTHOR “MUST” BE RATIFIED AIOS MEMBER
    IF THE PRESENTING AUTHOR IS NOT A AIOS MEMBERS [RATIFIED] THAT PARTICULAR PAPER/POSTER/VIDEO WILL NOT BE ELIGIBLE FOR EVALUATION/SEMIFINAL/FINAL OR ANY AIOS AWARD.
  • VIDEO SESSIONS AUTHORS MUST BE PRESENT DURING THE SESSION.
  • VIDEO SUBMISSION MUST BE SENT ALONG WITH “3 CDS FOR EVALUATION”
  • Mention Chief Authors & other Co-Authors AIOS Membership No. so that all names appear uniformly in the abstract book. Otherwise, names will appear as mentioned in the form.

NEW RULES:

As policy, we do not allow any change in presenters/authors. In the case of any unavoidable reasons, written evidence should be sent 3 weeks before. Presenting author must be AIOS member. All free paper awards should be given to the presenting author and the presenter must be a ratified AIOS member. If not a member, that paper will not be considered for ANY award.

Free Paper/Poster/Video — presenting author — must be a ratified AIOS member. No change in authors allowed during video/free paper/semi-final/final sessions.

Title - 30 words & abstract 100 words only - more than that will be rejected automatically.

Institution or hospital’s name in the title or abstract should not be mentioned and will not be acceptable for evaluation.

No change of order in authors will be accepted without the written consent letter from the chief author.

No 35 mm slides will be used at the conference, only “powerpoint presentations” are allowed & you can bring CD for presentation.

AWARD WINNERS

If any awardee will not be able to attend the inaugural function to receive the award from the chief guest, the awardee must send written intimation well in advance to Chairman, Scientific Committee AIOS & General Secretary Dr. Lalit Verma    

INSTRUCTIONS FOR SUBMITTING THE ABSTRACTS

Abstracts received after the deadline will not be considered. Online submission facility available.

Please read the following information carefully and comply with the instructions to enable the scientific committee to give your abstract thorough consideration.

Please Note: Scientific abstracts must have at least one Society Member as an author or co-author. Changes on the form will not be possible after it is submitted.

AUTHOR (Presenting Author)

Type your name exactly as you want them to appear in the printed programme. Note your AIOS membership number. Atleast one of the Co-Authors must have an AIOS No. Click www.aios.org to see the AIOS membership number.

Indicate your mailing address and mobile telephone and fax numbers and email id.

All correspondence will be with the Chief Author to the address indicated.

All awards (subject to the conditions of the award) and certificates will be issued in this name. Only ratified AIOS members are eligible for any AIOS award.

CO-AUTHORS

List all co-authors (up to 6 only) exactly as their names should appear in the printed programme.

Give careful thought to the complete (including middle initials) and order of the co-authors listed.

Note their Society Membership Numbers (required). Where No. is not given, it will be assumed they are not members of the Society.

Poster co-authors are individuals whose names should appear in the printed programme and on the onsite presentations.

POSTER, PAPER AND FILM PRESENTERS SEND PHOTOGRAPHS AND CV TO EDITOR, PROCEEDINGS — AIOS.

If you have presented a paper, poster or a film please send your short CV with a coloured passport photograph to disha@cal2.vsnl.net.in or to the Editor Proceedings, Disha Eye Hospital, Barrackpore, Kolkata - 120, for inclusion in the next proceedings. The CV should contain the year of passing, College, University of the Degrees, Important Awards (maximum 3), Current position held, and any important past post held.

TYPE OF PRESENTATION

Indicate the type of presentation you wish to make by checking one box only. Please note the various categories.

SCIENTIFIC PAPER OR SCIENTIFIC POSTER

The scientific committee suggests that the “Scientific paper or Scientific poster” option provides the author with optimum opportunity to present his or her work. If this option is checked, the abstract will be considered, first as a paper, if not accepted, it will then be evaluated as a poster. However, if only “paper” is checked, and the abstract is not accepted as a paper, it will not be considered as a poster.

SCIENTIFIC POSTER

Scientific posters, in general, have the following characteristics:

are presented by individuals rather than by organizations

present scientific material, usually new information

do not solicit members for, or promote an organization

are not presented on an annual basis.

Please note: Scientific poster will be judged on scientific merit only.

 HYDE PARK

Submissions accepted as Scientific Posters may be read in the Hyde Park session (for 5 mts. only) if registered with the Chairman Scientific Committee. Only  the first 20 requests will be accepted. In case a large number of requests are received, selection will be made on marks scored. The Poster will also have to be displayed in the allotted Panel. Hyde Park entries will be given a certificate of presentation as a Paper but will NOT be eligible for any Award for the paper other than the eligibility for the Poster.

Seperate Video Submission Abstract Form Available. (Send 3 CDs/DVD along with abstract Form for evaluation).

CD / Videotape submission for “Film Festival of India” (FF)

The Film Festival will be divided into four sections

1.  Thematic Films – PEDIATRIC

2.  General Films

3.  Instruction Films

4.  Public Education Films

The Thematic and General Films must not exceed 10 minutes duration in the fully edited mode while Instruction and Public Education Films must not exceed 15 minutes in the full edited mode.

The best films in all four categories will qualify for certificates.

Last date for sending the video titles in four categories with a short informative abstract (which must be between 80-100 words or 10 lines) is May 31, 2007. Please note that the acceptance is provisional on the final viewing of the

CD which must be sent along with Abstract Form.

CD will be judged according to educational value, originality, and expert use of the medium.

Films not accepted for Film Festival (FF) may be accepted for Video Theatre (VT) if indicated in the form. If Selected for Video Theatre Films, the duration is 10 mts. only. CD will NOT be returned, Editor, Proceedings needs them for inclusion in the proceedings CD. Hence keep a copy for your record and send. Don’t send the original. Don’t forget to send Video Declaration Form.

SUBJECT CLASSIFICATION

Please select the single category, from those listed, that best describes your submission.

PROPRIETARY INTEREST

The scientific committee has determined that proprietary interest should not restrict scientific presentation or publication, provide that appropriate disclosure of such interests is made. Appropriate disclosure of proprietary interests shall be expected in presentations of posters exhibits, papers, discussions, courses, video tapes and submitted manuscripts.

Examples of appropriate disclosures are the following:

“The author holds patents rights to this instrument”.

“The author has a financial interest in this instrument”.

“The author is a consultant to the (name of Company)”.

“The author owns more than 10% of stock in (name of Company)”.

“This study was supported in part by the (name of Company)”.

A disclaimer of proprietary interest may be appropriate, especially if such interests may be falsely suspected.

Example:

The author has no proprietary interests in the development or marketing of this instrument, and no financial interests in the (name of Company).

Your signature on the abstract submission form indicates that you have complied with this policy and would disclose at, the time of your presentation any proprietary interests which you and your co-authors might have.

Even with the disclosure, presentations and publications should not promote exclusive use of commercial products.

Permission to Record

The Society plans to record presentations and discussions at the Annual Meeting. The unedited tapes may be made available for purchase and the proceeds used to support Society programmes. Your signature on the form indicates that you give the Society permission to record your presentation.

Video tapes may be copied in total and become the property of the AIOS and may be available for purchase.

ABSTRACT

Type the title of your presentation.

The Society will not consider papers that have already been published or submitted for publication. If accepted as a paper for the Society programme, 

2 full manuscripts (along with a floppy (virus free) or CD in WORD format and a declaration mentioning FP code No.) must be submitted to the Chairman, Scientific Committee by September 15, before it is permitted to be presented at the conference. Articles Published in peer reviewed journals will not be accepted and declared that this work has not been published in my pre reviewed journal. Send Declaration Form duly signed, along with the hard copies.

A carefully prepared abstract will assure that the Scientific committee will have all the information necessary to assess the suitability of your work for the programme. For this reason, try to be as specific as possible. Studies barely under way or in which the outcome may be inconclusive should not be submitted.

Scientific abstracts will be evaluated without the knowledge of the name or affiliation of the author. Thus, identifying phrases within the title and abstract itself are not allowed and will result in the disqualification of the abstract without evaluation.

Type the abstract. In order to be considered for the programme, the abstract must fit in the box provided, MUST be typewritten and not between 80-100 words and 10 lines. Otherwise the abstract form will not be considered.

Please use care in preparing the abstract. If accepted, it will appear exactly as typed in the printed programme. Scientific Committee will not be responsible for spelling and grammatical errors.

Indicate whether or not you have proprietary interest in the presentation.

Indicate your willingness to allow recording.

PUBLICATION OF MATERIAL PRESENTED

Authors of papers accepted for presentation at the meeting of the All India Ophthalmological Society are required to submit their paper (2 hard copies) along with a floppy/CD (virus free) in WORD format and a Declaration (See Specimen) before September 15, 2007 to the Chairman Scientific Committee for publication in the proceedings. Individuals presenting scientific posters may or may NOT submit a paper for consideration for publication in the Indian Journal of Ophthalmology. However, should the author wish to publish his or her poster material, it may not be submitted elsewhere until the Journal has released the presenter from any copyright obligations. Kindly mention FP code No. in Floppy, CD, Full Text, Declaration clearly.

THE SOCIETY HOLDS COPYRIGHT ON ALL SCIENTIFIC MATERIAL PRESENTED AT ITS ANNUAL MEETING.

SCIENTIFIC PROGRAMMES

The scientific Committee has developed a checklist for abstract preparation with the objective of assisting prospective programme participants in preparing the best possible abstract for submission. All abstracts are considered equally for acceptance and the quality of the abstract is the single most important factor in the committee’s decision. Please follow the checklist to assist you.

CHECKLIST FOR ABSTRACT CONTENT

1.    Is the title descriptive of the abstract?

2.    Does the title avoid gratuitous statements and irrelevant information? Statements of author affiliation are not allowed, as abstracts need to be evaluated without knowledge of affiliations.

3.    Does the abstract contain a concise statement which can be evaluated by an impartial observer, covering the following:

        (a)   Why did you do the study?

        (b)   What did you do?

        (c)   What did you find?

        (d)   What does it mean?

Abstracts with statements such as, “will be done”, “will be underway”, “will be analysed” will be discussed or No data, incomplete data, affiliation or Institution disclosed/abstract more than 100 words cannot be accepted.

4.     Has your material been previously published? If so, the abstract will be rejected.

5.     Did you proofread your abstract? Conciseness, clarity, and care in the preparation of your abstract are important considerations in the Scientific Committee’s deliberations. Misspellings and typographical errors do a disservice to your scientific work. If accepted, your abstract will appear exactly as typed.

6.     Is your abstract 100 words and ten lines or less, has it been typed and does it fit entirely within the box provided? Handwritten submissions will not be accepted.

General Guidelines for Oral Presentations

A.      Presentation Standards

  1. The official language is English. All presentations must be in English.
  2. An electronically generated presentation using Microsoft PowerPoint is the standard. No other format will be accepted.
  3. We will ensure confidentiality of all scientific material. It will not be shared or copied without authorization and will be promptly deleted at the end of the conference.
  4. The projection will be on a single screen. There will be no capability for dual screen or simultaneous video projection on a second screen.
  5. Video clips should be embedded in your PowerPoint presentation with appropriate animation commands. It is suggested that you program your presentation to start the video with the advancement of the concerned slide.
  6. Sorry, we can’t arrange for presentations using 35-mm slides, OHPs or any other means.
  7. The use of personal laptops will not be possible.
  8. Please submit your PowerPoint presentation on a labeled PC-compatible CD or a USB 2 compatible storage devise. Remember to include in the same CD/USB devise the individual video clips that you may have embedded in your presentation.

B.   Preview Room.

  1. Preview Room is located at Level 1 of the Hyderabad International Convention Center. The room is well-equipped to preview your presentation, modify it, and copy it. Trained and pleasant audiovisual staff will assist you with any needs that you may have regarding your presentation.
  2. Preview Room has a lounge setting to help you relax, energize and catch-up.
  3. Preview Room is open from 2:00 PM to 6:00 PM on January 31 and from 7:00 AM until the conclusion of the day’s session from February 1
  4. Please check your presentation well ahead of time in the Preview Room, make changes if necessary, and save it on the CD/USB devise.
  5. Please submit FINAL presentation at the Preview Room at least four working hours before the commencement of their session.
  6. Presenters at the pre-lunch sessions on February 1 must submit their final presentation on January 31 by 6:00 PM. Presentations can be submitted in absentia by your representative. If that is impossible, please e-mail your presentations and the embedded files to honavar@lvpei.org at least one week in advance. Dr. Honavar will acknowledge receipt of each such submissions within 24 hours. If you don’t receive an acknowledgement, may be your presentation hasn’t reached him. You may then call him on 098483-04001 and confirm.
  7. Presenters at the pre-lunch sessions will have to submit their final presentations the previous evening on all days.

C    The Session Room Environment

  1. The stage will have the lectern on one side seating for the chairpersons on the other side at the head of the room. The chairpersons’ table is equipped with a table lamp, table microphone, and timer.
  2. The chairpersons’ table will also have seating for the presenter. The next presenter as per the scheduled order should occupy this seat as soon as the previous presenter moves to the lectern. The presenter will move to the lectern while being introduced by the chairpersons.
  3. All presentations will be given from a single lectern.
  4. The lectern is equipped with a lectern microphone, laser pointer, light, slide advancement control (or a laptop), and timer warning.
  5. Please reach the auditorium at least 15 minutes before the beginning of your session and get familiarized with the stage and lectern setting.
  6. Please meet your chairpersons before the session begins and introduce yourself.
  7. DO NOT exceed your allotted time for presentation. It will invoke penalty in all competitive sessions and in any case, it is considered uncouth.
